This notice describes how the volunteer-run Salford Brompton Club handles information submitted through the membership form and the separate newsletter sign-up.

What we collect

Your full name, email address, country, optional city/town, optional cycling interests, the time you applied and the records of your agreement to the club rules and this notice. If accepted, we retain your member number, category, joining date, and certificate/email administration records.

Newsletter-only subscribers: We collect your email address, date of sign-up and confirmation, subscription status and random tokens used to confirm or unsubscribe. You do not need to join the club.

Why we use it

To review applications, administer club membership, maintain accurate membership numbers and send approved members their initial certificate and rules. We treat membership administration as a legitimate interest of the club, subject to members' privacy rights. Newsletters are entirely optional and sent only where you have opted in; newsletter-only sign-ups require you to click an emailed confirmation link before becoming active. You may unsubscribe at any time.

Where it is stored

Membership information is stored in a private Google Sheets register and related Google Drive files accessible to authorised club administrators. The website is hosted by Cloudflare, which securely relays form submissions to Google Apps Script for processing. Emails are sent using the club's Google account. Your details are not published or sold.

How long we keep it

We keep membership records while your membership is active. We keep newsletter subscription and unsubscribe records as needed to honour your preferences and avoid unwanted messages. Unconfirmed requests are reviewed periodically and deleted when no longer needed. We review refused, withdrawn and duplicate applications periodically and remove information when it is no longer required for club administration. You may ask us to review or erase information at any time, subject to any lawful reason to retain a limited record.

Your choices

You can contact the club to request access, corrections, deletion, or to object to processing. Newsletter unsubscribe links affect newsletters only and do not cancel membership. Unsubscribing suppresses the email address across both the member and newsletter-only lists.
